Project Director
The Project Director is primarily responsible for implementing and managing the activities of one or more awarded grants to achieve the goals and outcomes within the budget as approved by the funder.
Position Requirements
Essential Duties:
Obtain, review, and become very familiar with copies of all documents related to assigned awarded grant(s), including but not limited to, the grant NOFO/guidelines, the grant application (narrative, budget, evaluation plan, logic model, outcomes, goals, attachments), the official notice of award (NOGA, NOA), and emails from funder.
Upon notification of an award and/or assignment of an awarded federal or state grant, work with Executive Director or their designee to achieve the following:
Follow federal procurement guidelines as outlined in CBI’s Policies and Procedures for obtaining bids if required for vendors and partners performing services in relation to a specific grant.
Revise and/or develop a MOU or Contract for chosen/approved vendors and partners according to the CBI Policies and Procedures.
Initiate the New Grant NOGA Checklist activities/responsibilities.
As directed by Executive Director, work with staff evaluator, contracted evaluator, or perform the following grant evaluation and progress reporting tasks:
According to the approved narrative, plan, schedule, and implement data collection instruments distribution, collection of same, and compilation of data.
Determine and develop the types of data and types of instruments/methods needed to gather appropriate information for determining if outcomes have been achieved per the funders’ reporting requirements.
Notify the appropriate administrative assistant staff of progress and financial reports due dates to be added to the CBI comprehensive grant reporting schedule.
Prepare statistical and narrative program progress report draft for review by Progress Director and/or Executive Director and submit the final report in a timely manner prior to the due date.
Notify in advance and work with the Progress Director, the Executive Director, and/or Finance Department staff to prepare and submit no-cost extensions and budget revisions to funder.
Notify the Executive Director and HR Manager of any staffing needs in relation to a grant, and the budget and general duties required.
Participate in the hiring process as requested.
Train, supervise, monitor, and participate in annual performance review of staff working on a project you are assigned to direct.
Develop a positive working relationship with any partners, vendors, and stakeholders.
Review, approve, and submit for additional staff/management approval all vendor invoices, and/or notify senior management of any issues with an organization or contracted professional meeting their grant funded obligations.
Meet on a regular basis with the Executive Director, Progress Director, and Finance Manager to discuss the status of the grant funded projects, such as the budget, successes, challenges, and potential changes needed in activities and/or partnerships.
Manage and monitor grant funded projects as assigned, working towards successfully completion of the approved scope of work and activities within the approved budget.
Work with CBI’s Finance Specialist/Purchasing Agent regarding grant budget purchases. Complete, review, approve, and submit purchase requisitions, travel requests, and other expenses, retaining compliance with CBI’s Policies and Procedures, funder requirements, and governmental guidelines.
Work with the Finance Department reviewing reports on grant expenses on a regular basis and comparing them to approved budget.
Work with assigned CBI staff to make travel arrangements and obtain approval of same.
Attend funder-mandated conferences, meetings, and conference calls.
Review and approve time off requests for staff you are supervising.
Participate as a member of the Grant Champion team as requested.
Communicate with funder representatives and develop a positive relationship with same.
Assist Executive Director in preparation for funder video or in-person site visits audits and attend as requested.
Assist Executive Director in providing requested documentation for CPA audits.
Attend training courses, webinars, and conferences as requested by Progress Director or Executive Director.
Perform other duties as assigned or required.
Education / Certification / Experience Requirements
Minimum of a bachelor’s degree.
Minimum 5 years’ experience grant project management, preferably at least one federal grant, and working as the lead manager. Experience should include implementing and monitoring program activities to achieve outcomes and goals.
Experience reading and understanding foundation, federal and state guidelines (NOFO) and awarded grant applications.
Experience writing work plans and reports.
Preferred, but not required, 3 years grant writing experience, and working with indigenous communities.
Experience using various on-line funder reporting websites and methods required by funders, in particular federal grantees.
Training and/or experience in understanding and applying principles of federal guidelines, particularly the 2 CFR 200.
Experience supervising staff.
Possess valid authorization to work in the United States.
Possession of a current Driver’s License with a satisfactory driving record.
Experience and skill in the use of general office equipment, including calculators, copy machine, printer, and computers.
Experience and skill in using Microsoft Office: Word, Excel, Outlook, PowerPoint, etc.
